Six data security guardrails every brand using AI needs in place

Data Privacy Day is a timely reminder for brands that how they use data is as important as the campaigns it powers. With this year’s theme, Take Control of Your Data, many organisations are asking how to harness AI confidently without compromising the trust of customers. When getting it wrong can result in hefty fines, legal action and lasting reputational damage, responsible data use is essential – and brands using AI must understand how to use it transparently, ethically and securely. Below, we break down six practical ways to do exactly that.  

  1. Set a clear AI use policy

The first step is to decide, in plain language, how your organisation will and will not use AI. A short, accessible policy should cover which tools are approved, what they can be used for, and who is accountable for oversight. An AI ‘register’ is helpful here: a simple list of tools, use cases and owners that gives visibility and makes it easier to respond to questions from clients, customers or regulators. 

  1. Define what data can go into AI

Safe AI starts with safe inputs. Teams need to know, without ambiguity, that personal data, confidential client information and sensitive internal documents must not be pasted into public AI tools. Instead, use anonymised, synthetic or aggregated data wherever possible, and share only the minimum information required to achieve the task. Clear examples of acceptable and unacceptable prompts make this easier to follow in practice. 

  1. Build privacy by design into AI projects

Whenever AI is used in ways that might affect individuals (such as profiling, segmentation or personalised journeys), privacy should be designed in from the start. That means completing a data protection impact assessment where appropriate, identifying a lawful basis, and checking that data is only used for the purpose it was collected for. By treating these steps as part of the standard project workflow, rather than an afterthought, you reduce risk and avoid costly rework later. 

  1. Be transparent and give people control

People are more comfortable with AI when they understand how it affects them. Where AI influences what someone sees, is offered or is told, be open about it and explain the role AI plays in straightforward terms. Make it easy for individuals to manage their preferences and opt out of certain types of profiling. Clear privacy notices and accessible preference centres are key parts of this. 

  1. Firmly keep human oversight within the process 

AI can speed up copywriting, analysis and planning, but it cannot take responsibility. Human review should be mandatory before AI‑generated content or decisions reach customers. That review should check accuracy, tone, fairness, intellectual property issues and alignment with your brand and values. Simple checklists for different use cases help teams apply consistent judgement and reduce the chance of something slipping through. 

  1. Invest in training and culture

Policies and processes only work if people understand and believe in them. Regular training on AI and data protection gives teams the confidence to use AI creatively without risk. Practical sessions, such as workshops on safe prompting or scenario‑based exercises, help embed good habits and create a culture where colleagues feel comfortable raising concerns. Over time, this culture becomes one of your strongest safeguards. 

A considered approach to AI and data privacy is a prerequisite for sustainable growth and trusted relationships. By focusing on these six areas, you can unlock the benefits of AI while demonstrating to customers, regulators and partners that you take their data – and your responsibilities – seriously.
